Count maintenance as part of the cost
A custom system needs ownership. APIs change, team processes evolve, and edge cases appear. Include monitoring, documentation, and a simple way for a person to recover when something fails.
Choose the smallest useful intervention
Often the right answer is a standard tool with a thin custom layer around it. That preserves a familiar interface while eliminating the handoffs that make the process feel fragmented.
